Do not meet globally if you really want to reduce CO2! Moving from global gatherings to cluster meetings can turn your travel greener. Over the past few years the number of organisations committing to reduce their emissions has increased dramatically as the world demands more responsible behaviour towards the environment. These demands are coming from across the board. from lawmakers, as well as from customers; companies also find their own shareholders, staff and future talent demand this change, creating a perfect storm for action. Emission reductions in real terms is the future, not offsetting. A good example of this was at the recent Booking Holdings shareholder meeting where shareholders made it clear that offsetting against CO2 emissions was not enough as 19.23 million voted against the board, forcing the production of an annual climate transition report. With Covid-19 forcing significant changes in travel habits, this change has shone a light on how changing our meeting habits can dramatically reduce emissions, time spent travelling and costs for companies. Understanding emissions impact at the point of planning travel (not the point of sale) will enable emission avoidance Travel emissions make up a large amount of carbon emissions a company generates and are called Scope 3 emissions. More and more companies are signing up to reduce Scope 3 emissions. However when it comes to how they reduce these emissions, companies are struggling. Business travel is made up of millions of decision makers that arrange meetings and providing them with tools to avoid CO2 emissions will be a key step in emission avoidance. Scope 3 emissions are the result of activities from assets not owned or controlled by the reporting organization, but that the organization indirectly impacts in its value chain. Over 50% of all trips are related to some sort of meeting or event, however there is currently little, if any, assessment of the emissions impact a meeting or event may produce at the point of planning. Decision making support requires having timely and accurate data. Companies are rushing to implement emissions data as part of the booking tools their travellers use. However showing this at the point of booking is too late for many trips as the meeting or events the traveller is attending has already been arranged! A few companies are realizing the benefits of introducing an earlier step into the process and analysing the meeting at a holistic level to assess the emissions impact as well as other factors and using this data to inform where to meet, who should attend and who should join virtually. Meeting in regional clusters rather than globally is transformational for your emissions strategy Meetings have typically operated in single locations in the past, with a global team travelling from many locations, resulting in significant cost, time lost to travel and a big carbon footprint. What if people met in clusters and joined up virtually with other clusters at time zone friendly times rather than travelling there in person? TROOP recently analysed this for a Fortune 100 company and showed that for a 207 person meeting that they were considering to host as normal at their US HQ, they could achieve a 76.5% reduction in costs and a 78% reduction in emissions and 71% reduction in travel time by hosting in regional clusters. The numbers become more impressive when you look at the actual savings as this represents $244k and over 249 tonnes of CO2 (which is the annual equivalent of emissions from 39 UK citizens*). It also saves over 212 work days based on an 8 hour day. With more organisations taking a step back to reflect on how they travel, for what purpose they are meeting and the impact of their travel, this is the moment to rethink where and how people should meet. Those companies that focus on avoidance first and offsetting second will be the leaders in emission reduction and delight their staff, customers and shareholders. How do I make emissions-friendly decisions about Travel related to meetings? Currently you have the choice of manually calculating the information from a variety of sources and guessing the best destinations to analyse. Alternatively, you can use TROOP s platform to analyse the data in minutes, providing all relevant data required to make an informed decision about where to hold a meeting, who should attend, how they should travel to attend the meeting or whether they should join virtually. Our belief is that arranging safe, sustainable and cost effective meetings should be easy for anyone and the TROOP platform is delivering this today. The only way companies can expect their employees to make planet friendly decisions about their travel is by providing then with new tools that provide this information at the planning stage. The irony is that this has been a gap in the market for many years and has meant that the decision on where to hold a meeting has been based on opinions rather than data.
